This page explains what information Westlake Hoops collects, how we use it, and how it's protected.

1. What We Collect

Westlake Hoops, LLC ("Westlake Hoops," "we," "us") collects only the information we need to run our programs. Depending on the form, this can include:

  • Player and parent/guardian names
  • Email address and phone number
  • Player grade, age, or birthdate
  • Program, class, or team selections
  • Messages you send us via contact forms
  • Basic technical information (IP address, browser, pages visited) collected automatically by our website

2. How We Use It

We use the information you submit to:

  • Process registrations and memberships
  • Communicate about schedules, classes, teams, and events
  • Respond to questions and support requests
  • Improve our programs, scheduling, and website
  • Comply with legal obligations

We do not sell your personal information to third parties.

3. Payments

Payment information (credit card, bank, or wallet details) is collected and processed by third-party payment processors, which may include Venmo, Stripe, SportsEngine, and other similar providers. Westlake Hoops does not store full payment card numbers or bank account credentials on its own systems. Each processor handles your payment data under its own privacy and security policies — please review the policy of the processor you use.

4. Email Communications

Any email address submitted through a Westlake Hoops form may be added to our email list and used to send schedule updates, registration announcements, event information, and program news. You can unsubscribe at any time using the link in any email or by contacting us directly.

5. Children's Information

Westlake Hoops programs serve athletes who are minors. Information about players is provided by their parent or legal guardian during registration. We use that information only to operate the programs the player is enrolled in.

6. Cookies and Analytics

We use first-party cookies and similar technologies to keep the site working properly and to understand how visitors find us. We do not use advertising cookies and we do not sell cookie data. The cookies we set are:

  • Sign-in cookies (wlh_session, wlh_remember, wlh_tab) — strictly necessary. These remember your "Keep me signed in on this device" choice and keep you signed in for up to one year, even when your browser clears other website storage. If you leave "Keep me signed in" unchecked, the sign-in cookie is not stored and you are signed out when you close your browser.
  • Convenience cookie (wlh_last_email) — remembers the email address you last used to sign in on this device so you (or your password manager) don't have to retype it. It stores only your email address.
  • Referral and campaign cookies/storage — record how you arrived at our site (for example a friend's invite link) so we can credit referrals and measure our own marketing.

You can clear or block cookies in your browser settings. If you block the sign-in cookies, you will need to request a new one-time passcode each time you visit, and "Keep me signed in on this device" will not work.

7. How We Protect Your Information

We use reasonable technical and organizational safeguards to protect the information we collect. No system is perfectly secure, but we work to limit access to your information to people who need it to run the program.

8. Your Choices

You can request a copy of the information we have about you, ask us to correct or delete it, or unsubscribe from our email list by contacting us at the address below.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The current version will always be posted on this page with an updated "Last updated" date.
